Assign Tasks
What you are doing: Collecting information from teams/participants before or after they register — waivers, emergency contacts, jersey sizes, roster submissions, or custom questions. Build a task once and reuse it across events. Participants will be prompted to complete the task during the registration process or will be emailed directly with post-registration tasks.
After registration is set up, open Assign Tasks, then click Add Task+ in the top right corner.
Choose Add from Library (reuse a saved task) or Create New Task. The three types of tasks are forms, waivers, and rosters.
For a Form, type out a Task Name, then choose from the fields in the left panel to add them to the form. Click the + next to the fields: Standard Fields (name, DOB, T-shirt size, waiver agreement, etc.), Field Groups (Address, Emergency Contact, etc.), Document Uploads (driver’s license, insurance card, birth certificate, etc.), or Create Custom Field for anything else.
To build a Custom Waiver, add a waiver name and click Start editing. Drag fields (Signature, Initials, Text Field, Date, Checkbox, etc.) from the Content panel and assign them to a role. Include a signing order if needed. Use the Variables panel to auto-fill recipient details like name, email, and address directly into the document. Click Done.
For Roster Collection, set an optional minimum/maximum players and staff per team (leave blank for no limit).
Click Preview Task to see the participant view, then Save Task.
Determine the timing of task assignment. Adjust the timing by clicking the six dot handle and dragging each task into Before Checkout (must be done to complete registration) or After Checkout (assigned once registered).
Add a due date by clicking Set due date. Edit due date by clicking the Calendar icon. To delete the task, click the three dots and then Remove.
Repeat steps 2-7 for any additional tasks. Note that only one roster collection task may exist at a time, so if changes need to be made, edit the existing roster collection task or delete it and start new.
TIP | Create and save tasks before the registration window opens so that participants see them immediately. Tasks are distributed automatically — there is no manual send. Use Track Responses and Send Reminders to remind participants of outstanding tasks. |
Track Responses
Once tasks have been created and assigned, response status will appear on the Track Responses page.
In the top right corner, use the dropdown menu to select a task (if there are more than one assigned for the event).
Here, you’ll see the number of participants the task is Assigned to, how many participants have Completed the task, and how many are still Outstanding. Click the Send Reminder button to immediately nudge participants to complete the task (the task due date will appear below this button).
Below the summary cards is a table that displays all participant task status, including Participant name, Status, and form responses. Use the Search field to find a specific participant. Use the dropdown to sort the table by All statuses, Pending, Completed, Waived, Overdue, or Re-assigned.
Use the Export button to download all responses.
