Set Up Registration & Collect Sign-ups

Configure event registration so teams can sign up and pay for event participation.

WHY THIS STEP | Competition divisions are created during registration set up, and the schedule is built around those divisions. Configuring registration first is what makes team and division data exist for the scheduler later.

Get Started

  1. Click the Registration icon.

  2. On the splash screen (Participants, Pricing & Payments, Timeline, Capacity), click Get Started.

Set Registration Dates

  1. Set Registration Start Date and Start Time, then Registration Deadline and Deadline Time (this defaults to 11:59PM the day before the event begins). The Timezone matches the event. Click Save registration dates.

Create Divisions

  1. Choose how divisions are built: check the boxes under Age Groups (5U through 20U, plus Junior Varsity and Adults), under Grades (Kindergarten through 12th grade), or click New Division under Custom. Select a gender category for each division (Boys, Girls, or Coed).

  2. The order you select divisions is the order customers see them. Reorder by dragging the six-dot handle under Event Divisions and Order on the right side; remove a division by clicking the X.

  3. Click Save Divisions, then Next.

TIP | If this is not your first event, use Select Template or Existing Event to copy divisions, levels, pricing, and registration limits from a past event, then click Apply. After applying, choose Apply and Keep Editing to keep working on other areas of registration, or Apply and Close to finish registration set up right away.

Create Competitive Levels (optional)

  1. Designate if teams should be organized based on ability.

    1. If yes, click Yes, I have competitive levels.

      1. Type a level name (e.g., Elite, Competitive, Recreational), click Add, and check which divisions it applies to. Click Next.

    2. If no, click No, I don't have competitive levels. Click Next.

Define Pricing Options

  1. Choose Yes, one price for all divisions or No, I want to set different prices by divisions or days.

  2. For each price, enter a price name (e.g., Team Fee, Standard Price) and a Base Price for each tier.

  3. To reward participants for early sign-ups, click Add Early Bird Price.

  4. Set the price and the date/time it ends, click Add Pricing Option so it appears on the right side of the screen. Click Next. When the Early Bird Price time frame ends, registration pricing will revert to the base price.

  5. If you chose multiple pricing options, designate which pricing option applies to each division and competitive level by clicking the appropriate check boxes. Click Save pricing assignments, then click Next. (If you chose a single base price, this step is auto-filled.)

Set Registration Limits (optional)

  1. Set optional registration limits per division or competitive level.

    1. To put a cap on sign-ups, click Yes, I want to set limits, choose a Sold Out Policy (add to a waitlist, or stop accepting registrations).

      1. Set Division limits. If you have created competitive levels, you have the option here to set competitive level limits as well. Use the check boxes to turn on competitive level limits and indicate the limit.

    2. If you do not want to set limits on registration, click No, unlimited registration.

  2. Click Save Limits.

  3. Click Finalize Registration.

TIP | You'll be able to collect information from teams through Tasks, covered next.

Publish and Share the Registration Link

  1. Return to the Details dashboard and set Event Visibility to Published. The public Registration link should now appear on the dashboard.

  2. Under the Quick Links section, copy the View Registration link (the two-square icon) and share it with teams and families.

  3. View the public registration link by clicking the box with arrow.
