Add Teams & Build Divisions

Add teams to the scheduler, and organize them into the competitive divisions and pools.

Add Teams

  1. Click the box with an arrow to Expand Sidebar.

  2. Click on Teams.

  3. Click on the Filter icon in the upper right to Sort Teams By Pools. This will allow division and pool assignments to appear from the start.

  4. There are three ways to add teams:

    • Sync from Registration: Copy over the teams that have registered for the event.

    • Import Teams: Add a single team individually or bulk-import from a spreadsheet.

    • Manual: Create divisions first and drag teams into them.

Sync from Registration

  1. On the Teams page, all teams that have registered will show up in the Unassigned Teams table on the left.

  2. Click Sync from Registration.

  3. If you have not set up divisions yet, syncing from registration will automatically assign teams to the divisions they registered for by creating those divisions within the Teams page. In this example, syncing created the 12U division.

Import a single team

  1. On the Teams page, click Import Teams and use the Single Team tab.

  2. Enter Team Name, Age Group, and Gender (required), plus optional Competitive Level, Division, Pool, Team Comment, and Coach Info. Click Import Team.

  3. Newly-imported individual teams land in the Unassigned Teams column upon entry.

Bulk import from a spreadsheet

  1. Click Import Teams.

  2. Open the Bulk Import tab. Click Download Template to download a copy of the required .csv formatted document.

  3. Add team data to each appropriate column. Use the exact column headers in the template (mismatched headers will not carry over and will prompt an error message):

    • Team Name: Ensure each team has a unique name across age groups.

    • Age Group: Formatted as 11U, 12U, 13U, etc.

    • Gender: Choose one: Boys, Girls, or Coed.

    • Competitive Level: Choose from the following categories: Elite, Strong, Medium, Developing, or Beginner.

    • Division / Pool: If these are already set, the team is auto-placed; if blank, it goes to Unassigned Teams.

    • Team Comment: Add optional team notes.

    • Coach First Name, Coach Last Name, Coach Email, and Coach Phone: Add the team's coach's contact information.

    • Time Constraint: Identify team-specific time restrictions, use specific date and time format to create a rule (e.g. Do not schedule games before 11:00am on 05/01/2026)

    • Venue Constraint: Identify if a team prefers or needs to avoid a specific venue. You must use the exact venue name for this to apply (e.g. Avoid games at Fastbreak Headquarters)

    • Coach Constraint: Identify if a coach is assigned to more than one team so their matches do not overlap. Use the same alphanumeric code for all teams that share a coach (1a, BB, etc.)

  4. Click Upload File (CSV, XLS, or XLSX).

  5. Click Import # Teams. Teams will be automatically assigned to Divisions and Pools as indicated on the imported spreadsheet.

WHY THIS STEP | Every constraint, division, and pool you put on the import sheet is applied automatically the moment you upload. Front-loading this data is the single biggest time-saver — it removes almost all the manual setup you would otherwise do team-by-team in the scheduler.

WATCH OUT | You cannot import teams while the schedule is published (the Import Teams button is disabled). Unpublish from the Publish tab, and if matches have already been generated, reset them on the Competition tab before re-importing teams.

Create Divisions, Create Pools, and Assign Teams

Once teams have been added to the platform, either through registration or manual import, they need to be organized into Divisions and Pools for competition to take place.

  1. Click on Teams. Click on the Filter icon in the upper right to Sort Teams By Pools. This will allow division and pool assignments from the start.

  2. Add divisions manually by clicking Add Division.

  3. Name the division, identify the age group and gender, and click Create.

  4. Assign teams to divisions and pools. Teams can be assigned to a division or pool from either the Unassigned Teams column or from their existing position within the workbench. There are three primary ways to move teams.

    1. Drag and drop a team using the six do handle (⠿).

    2. Select the team(s) to move using the checkbox next to the team name.

      1. Use the tool bar that appears at the bottom of the screen to identify where the team should be moved (to an existing division and pool, to create a new division or pool with this team, or to the unassigned column).

      2. Move teams and create a new pool.

      3. Move a team to an existing pool.

    3. Click the three dots to the right of a team name. Click Move Team.

  5. Rename a division or pool by clicking the pencil icon next to the name. Click Save to finalize the new name.

  6. Click the sideways arrow to expand the division and see teams assigned to the division.

  7. To delete a division, click the trash can icon next to the division, then Delete. Note that if games are already generated for a division, you won't be able to delete it until matches are reset/removed.

Manage Individual Teams

What you are doing: Using the three-dot menu next to any team to log notes and constraints, check payment info, or remove it from the bracket.

  1. Click the three dots next to any team to display specific team settings.

  2. Click Notes & Restrictions to add team-specific notes and logic for the scheduler tool to refer to.

    1. Registration Comment: This is a read-only box showing any comments the team submitted during registration. If they didn't add a comment, the box will read “No comment from registration.”

    2. Guaranteed Games: Use the Select games dropdown to set how many games this team is guaranteed for the event, regardless of bracket result.

    3. Operator Notes: Click Add Note to attach an internal note to this team — visible to your staff only, not the team or public schedule.

    4. Time Constraints: Click Select dates to choose which date(s) the restriction applies to. Then build the rule across three fields: Schedule, Before / After, and Select time. For example, “Schedule Before 5:00 PM on MM/DD” keeps the team's games ahead of that time on the selected date. Click Save to apply it.

    5. Coach Conflicts: Use Select teams with coaching conflicts to flag any other team this team's coach also coaches. The scheduler will avoid booking those two teams at the same time. You only need to set this connection once from either team. Once you select all the teams that share a particular coach, the system honors the conflict for all of them.

    6. Venue Preferences: Use Select venues to choose one or more facilities, then set the dropdown next to it to Prefer (schedule here when possible) or Avoid (don't schedule here). Click Save to apply the rule.

    7. Click Done to save all new Notes & Restrictions.

  3. Click Order Information from the dropdown to view registration and payment details for the team.

  4. Click Replace Team with TBD (to be determined) if you are waiting for a team to register, if the team is uncertain whether they can participate, or if you need to build the schedule outline before the team is final. This places the existing team in the Unassigned Teams column and puts a TBD placeholder team in the division/pool.

    1. To replace TBD with a team, use the six dot handle to drag the team into the TBD placeholder slot. This function allows you to generate matchups and the schedule before knowing the absolute final team list.

  5. Click Remove Team from Workspace to move the team from a division back to the Unassigned Teams list, allowing you to restructure divisions or pools without losing the team.

TIP | Time Constraints, Coach Conflicts, and Venue Preferences will all save in the system’s constraints tab. The schedule will honor these constraints made in the Notes & Restrictions section.

WATCH OUT | You can't move teams once the schedule is published and games are generated. Unpublish the schedule using the Publish page in the left sidebar, navigate to the Competition tab, and reset matches before moving teams.

TIP | A “To Be Announced” placeholder always sits in the Unassigned Teams list. Drag it into a division or pool if you are still waiting on a team to register.

Buttons, Controls, & Glossary

Use the following list to help navigate the Teams page.

Buttons

  • Filter (funnel icon): Filter the teams list to sort the teams by division or pool. It is recommended to use the Filter by Pool view.

  • Import Teams: Upload a CSV file to bulk import teams into the event.

  • Three dots: Use this to remove imported teams and remove all divisions.

  • Collapse: Click once to hide the Unassigned Teams list. Click again to view Unassigned Teams.

  • Sort columns: Select which columns are visible in the team list.

  • Collapse Divisions: Click once to collapse divisions so individual teams are not visible. Click again to expand all divisions.

Team Stats Table Headings

  • W/L: Overall win/loss record.

  • +/- : The team's total point/goal differential for the current tournament.

  • RPI: Ratings Percentage Index is a ranking metric based on a team’s record and the strength of their opponents.

  • GG: The number of Guaranteed Games, which is determined in the Notes & Restrictions section.

  • LP: This indicates the last time in the past two weeks a team has played another team in the same division.

  • +/- : The team's total point differential for the last-played match within the tournament.

  • WKS: This shows how many weeks ago that team played other teams in the pool - if you hover over the number a modal will appear with the specific team they played and the result of the game.

  • Rules: The following three icons indication whether a team has any active constraints. When the icons are grayed out, no rule applies. When the constraint is applied, the icon will be outlined in color. This applies to constraints entered from the import sheet and applied directly on the Constraints page.

    • Clock icon: Time constraints

    • Person icon: Coaching restrictions

    • Pin icon: Venue constraints

  • Notes: In the far right of the teams table, green check marks will appear next to each team. This is an internal only tool for operators and administrators to flag teams for issues, notes, or follow-up needed. Adjust the status by clicking the icon.

    • Click the check mark once to add a red caution icon.

    • Click the caution icon to adjust it to an amber warning icon.

    • Click one final time to replace the warning icon with a green check mark once again.
