When teams first enter your event, the Backlog helps you review requests and make sure each team is ready for scheduling.
Understanding the Backlog
Teams enter the Backlog in two ways:
When they register for the event
When they are imported into the system
Each team will show a colored checkmark that tells you their status:
Red checkmark — Team needs review
Green checkmark — Team is clear and ready
Pink checkmark — Optional “needs more attention” status you can set for yourself
If a team has a red checkmark, they will have comments listed under their registration—usually:
Time requests
Coaching conflicts
Location/venue requests
Addressing the Backlog
Before scheduling, you’ll need to open your event and review the teams listed in the Backlog.
Here’s how:
Go to Scheduling in the top navigation bar.
Find your event in the list — the Backlog column shows how many teams need review.
Click the event name, then select Teams in the left menu.
Review to the Backlog section and find a team with a red checkmark. (Scroll to the right if the backlog is not immediately visible or change your zoom.)
Tap on the team to quickly review notes.
Click the three dots (⋮) next to the team and choose Notes & Restrictions.
Read the team’s note (for example: “1 coach morning games”).
Translate that note into a restriction the system can use:
Time requests: Open the Time Restrictions dropdown and pick the matching preset (ex: Morning).
Coach conflicts:
If the note mentions sharing a coach with another team, use the Link Coach Restriction Teams field.
Type the name of each related team (ex: two teams that cannot play at the same time).
Choose a color for that coach group — this color will show up on the schedule later so you can quickly see which teams are linked and must avoid overlapping game times.
Location requests: Select the preferred venue under Location Restrictions if a team must play at a specific facility.
Click Save to save the restriction.
Change the team’s checkmark from red → green once all requests have been entered.
Use pink if you want to revisit the team later
💡 Tip: Clear all red checkmarks before creating matchups or running auto-schedule. This prevents conflicts and helps the schedule generate cleanly.
