Publish and Share the Registration Link
Return to the Details dashboard and set Event Visibility to Published. The public Registration link should now appear on the dashboard.
Under the Quick Links section, copy the View Registration link (the two-square icon) and share it with teams and families.
Event Participants
View participant data summaries on the Event Participants page:
Total Teams: Number of teams registered for the event
Total Players: Total number of players associated with registered teams
Paid Teams: Number of teams who have fully paid their registration fees
Total Paid: Total amount of money received for event registration to date
Participants Table: Displays all registrant information, explained below.
Participants Table
Each row in the table shows the team name, division, gender, age group, registration status, payment status, registration date, and actions.
Click Details to open a side panel with the team's registration and payment status, price, division, competitive level, Team Org ID and Roster ID, registrant contact info, a link to their invoice, and roster status.
Click Roster next to any team to open their roster page, showing staff and athletes registered under that team.
Use the three-dot menu next to any team to:
Update Status: Adjust team status. For example, move a team from Accepted to Waitlist or Dropped. Note that changing team status can trigger an automatic email notification to the team.
Manage Invoice: This takes you to the team's payment invoice to make changes.
Transfer Registration: Transfer a team's registration to another like event.
View Invoice Link: This displays a shareable link to that team’s invoice, so you can send it directly to the team contact.
Email/Call: This pulls up the team contact's email address to send a message or phone number to call them directly.
Team or Participant Statuses:
Registered/Accepted: The team is active for the event.
Upon completing registration, teams will show as Accepted to the event. This is the default status for a registered team or participant when the admin approval flow is off.
If the admin approval flow is turned on and the admin approves the team, the team status will show as Accepted.
Pending Approval: The team has registered and is awaiting approval. This status only appears if the administrator acceptance required workflow is active.
Waitlist: A team is waitlisted if the number of registrations surpasses the registration limit. If a team is moved from the waitlist to accepted, an email will automatically be sent to the team contact.
Dropped: A team is no longer a part of the event. When this status is triggered by an administrator, an email will be sent automatically to the team.
Manually add Rosters and Staff Members
What you are doing: Adding athletes and staff to a team's roster yourself, instead of waiting for the team or coach to submit it.
WHY IT MATTERS | If a team registers but never submits a roster (or a coach calls in a change), this lets you fill it in yourself so the team isn't marked as “No Athletes Submitted.” |
Click Roster next to a team to open their roster panel.
Click + Add Athlete to enter First Name, Last Name, DOB, Gender, Email, Jersey #, and Position. Click the check mark to save.
Click + Add Staff to enter First Name, Last Name, Email, and Role. Click the check mark to save.
Use Bulk Edit to update several athletes/staff at once instead of one by one. The editable fields are Jersey # and Position. Click Save Edits to save or Cancel Edits to cancel.
Sort all roster members by clicking the up/down arrow next to each column title. Choose Asc(ending) or Desc(ending).
Click Export roster to download the completed roster.
TIP | Use the arrows and counter (e.g. 1/12) in the bottom right to jump to the next team's roster without leaving this panel.

Manually Register a Team
Click Register a New Participant to sign a team up manually.
Search the customer name, select their team(s), apply discount codes if needed, and proceed to checkout.
TIP | The Register a New Participant function only works if the customer already has an account with teams added. If they don't, register the team manually from the Teams tab instead. |
